Privacy Notice

This notice covers the personal information the Mission Trails Bowhunter Association holds when you register for a tournament through this site. MTBA is a volunteer-run region of CBH/SAA; the contact for anything on this page is webmaster@mtba56.com.

What we hold, and why

  • Your email address. It is how you sign in — we send a link rather than keeping a password — and how we tell you about your entries.
  • For each archer you enter: name, gender, home club, and NFAA or CBH/SAA number and its expiration date.
  • Your entries and scores, including the age band each entry was registered in, and a record of the cash paid at check-in.

We do not ask for or hold a date of birth. You tell us the age band for each entry, which sets its division and its fee. Gender is held because tournament divisions are split by gender; it never affects the fee. The membership number and its expiration date are held because current membership is a condition of entry.

Children

Archers under 18 are entered by a parent or guardian, who holds the account. We hold nothing about a child beyond what is listed above, we never contact them — all email goes to the account holder — and we do not use any of it for anything but entering them and publishing their score.

Payment details

None. Fees are paid in cash at check-in, so the site never asks for or holds a card or bank details.

Email we send

We send transactional email only — sign-in links, registration confirmations and a notice when a waitlist place opens. There is no marketing email and no mailing list. We keep a record of which of these we sent you and when, so that we can answer questions about what you were told.

What is public

Published results are public and need no login: archer name, club, division, bowstyle, score and placing. They are a permanent record of the region's tournaments. Nothing else — not your email address, not a membership number — is shown publicly.

Who else sees it

  • Amazon Web Services, which sends our email and stores uploaded files.
  • Railway, which hosts the site and its database.

Tournament officials see the roster for a session they are running, which includes archer names, clubs, divisions, membership numbers and whether the fee has been paid. We do not sell personal information, share it for advertising, or pass it to anyone else.

How long we keep it

Entries and payment records are kept indefinitely — they are the club's financial record. Published results are permanent.

You can ask us to remove an archer profile and your contact details, and we will. Results already published stay, because they are the public record of a tournament that happened, and so does the payment history behind them.
